Group Management (for Administrators)

Overview

By creating groups, you can control the scope in which conversations, projects, workers, and more are shared among members. Use them for department- or team-level access control and knowledge sharing.

The group management screen is located in different places depending on your role.

Note: Tag management, bulk CSV registration, and bulk operations are available to organization administrators only.


Group List

Group information is displayed in a table.

  • Use the search box ("Search groups...") to search by name, and the "Status:" and "Tags:" filters to narrow the list
  • Deactivated groups are excluded from permission evaluation (useful for fiscal-year transitions, for example)

Creating a Group

  1. Click the "Create New" button
  2. Enter a Group Name (Description, the Active flag, and Tags are optional)
  3. Click "Create" to go directly to the group detail screen

Bulk Creation via CSV (Organization Administrators Only)

  1. Click "Bulk via CSV"
  2. Enter one group per line (in "Group name" or "Group name,Description" format)
  3. Click "Bulk create"

Managing Tags (Organization Administrators Only)

You can organize groups by attaching tags such as division or fiscal year.

  1. Click "Manage tags" in the group list
  2. Use "Add one" to add a tag by specifying its name and color (optional; a color is assigned automatically if omitted)
  3. On the "Bulk via CSV" tab, you can also add or delete tags in bulk

To attach or detach tags across multiple groups, select the groups in the list and use "Apply tags".


Editing and Deleting a Group

Operate from the top right of the group detail screen (click a row in the list). These options appear only if you have management permission.

  • Edit: Change the group name, description, Active flag, and tags, then click "Save"
  • Delete: Confirm the deletion in the confirmation dialog

Note: Deleting a group also removes all sharing with its members.


Member Management

Manage members on the "Members" tab of the group detail screen.

Adding Members

  1. Click the "Add Member" button
  2. Search by user name or email and select the users to add (multiple selection allowed)
  3. Click "Add"

Member Roles

Each member is shown with a role of "Owner" or "Member". The owner is the creator of the group.

Removing Members / Leaving a Group

  • Use the remove icon on a member's row and confirm to remove them
  • Selecting yourself means leaving the group

Viewing Shared Sessions

On the "Shared Sessions" tab of the group detail screen, you can see the list of conversations (sessions) shared with this group.

  • Open each session with "Open" (sessions that are view-only show a "Read Only" label)
  • To share a conversation with a group, use the sharing feature on the chat screen (see Chat)

Use Cases

Department- or Team-Level Access Control

You can restrict access to workers, jobs (agents), and available AI models per group.

Knowledge Sharing

Share useful AI conversations with a group and use them as your team's knowledge base.
